Spares Management Specialist


This role encompasses execution of front end and back end spare parts related duties including quote creation, customer order confirmation, supplier purchase order delivery tracking, and quality control delivering excellent customer service for both our internal and external customers.


Essential Job Duties

  • Collaborate with Supply Chain / Vendors to solicit quotes for items from third-party suppliers and partners
  • Manage customer and internal Supply Chain clarification requests (PO or RFQ) with part number discrepancies, missing part numbers, part revision levels, and requests for critical replacements.
  • Generate quotes and enter proposal details into customer relationship management (CRM) system and update status of the proposal throughout the life cycle of the sales process.
  • Review customer purchase orders for content and price/terms accuracy, issue spare parts job number, prepare internal shared folders, and forward to accounting department for creation of an internal Sales Order.  
  • Gather supplier purchase order delivery confirmation and update sales orders with the planned scheduled ship date from ATS and customer anticipated delivery date.
  • Work within ATS and Customer provided CRM, Financial, and Sales applications. 
  • Maintain and distribute daily reports to Supply Chain/Shipping highlighting outstanding supplier deliveries that are past due or due within the next 7 days.
  • Prep and label spare part job # bins, sort parts into bins, and update bin content status sheets as parts are delivered.
  • Work with Shipping to gather parts for assembly requirements and provide materials to floor assembly team for completion.
  • Perform quality control (Q.C.) prior to shipping all orders, ensure compliance to basic international customs and export regulations. 


  • Degree or equivalent experience in Supply Chain, Business Management, or Customer Service
  • 2 years’ experience working in spare parts management / customer interface recommended
  • Hands on familiarity in part identification and engineering experience interpreting with mechanical & electrical drawings are a plus
  • Ability to work in a multi-disciplined engineering environment, under pressure filled conditions
  • Aptitude to gain knowledge to readily determine parts of an assembly
  • Ability to read drawings, reference manuals and assembly systems instruction guides
  • Proficient with Microsoft Word, Outlook, & Excel
  • Ability to read, speak, write, & understand English in a professional manner
  • Strong initiative, innovative, and keen attention to detail
  • Ability to work effectively in fast-paced environment 
  • Excellent interpersonal & communication skills; Experience working with customers to resolve problems  
  • Must have a reliable method of transportation
