Travel Coordinator/Administrator


The Travel Coordinator will arrange business travel for employees, identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations, following company policies and approval processes.





  • Research and compare available travel and hotel accommodations to identify the best available option for each travel need.
  • Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.
  • Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff.
  • Advise travelers of and assist with any need for specialized travel documents such as visas, special permits, passports, immigration.
  • Assist travelers with PricewaterhouseCooper (PwC) application to obtain travel letters, Visa’s etc..
  • Use PwC resources to stay abreast of current travel requirements and restrictions.  Attend PwC webinars to expand travel knowledge.
  • Write travel letters for employees to cross borders.
  • Obtain additional insurance if required by destination country. 
  • Act as an internal consultant for managers and project managers to understand travel advisories, entry requirements and other issues that would impact travelers.
  • Ensure compliance and provide coaching for travel and expense policies to all travelers.
  • Attend Corporate travel meetings and cascades appropriate information.
  • Identify opportunities to streamline and/or create scalable, global processes; work with stakeholders to create, document, implement, and educate on new processes.
  • Maintain travel records and approvals.
  • Coordinate credit card processes, requisitions, credit limits, distribution, and replacements.
  • Negotiate local agreements with hotels, transportation agencies.
  • Manage billing discrepancies.
  • Support COVID-19 protocols:
    • Prepare COVID documentation authorizing travel
    • Prepare COVID-19 travel kits.
    • Arrange COVID testing.
  • Advise travelers where to go or what to do if positive case happens or safety s in question.
  • Prepare detailed itineraries of where to go for food, what hotel requirements exist, rental car diligence, entertainment options, etc.
  • Assist with analysis and preparation of company metrics as requested.
  • Obtain approvals from leadership for travel requests and expenses that exceed established limits.
  • Adhere to all International Standardization Organization (ISO) standards.
  • Full compliance to the terms and conditions within the employee signed work from home policy.
  • Comply with all ATS Company policies.
  • Performs other related duties as assigned.




  • Act as backup for Company receptionist.
  • Provide support to Human Resources function, e.g. schedule interviews, conduct reference checks/employment verifications, assemble onboarding packets, etc..
  • Copying, filing and other administrative functions.
  • Provide administrative support to Safety, e.g. scheduling of training, purchase orders, etc.




  • Must have a minimum of two (2) years’ of travel booking experience in a fast-paced environment. 
  • Bachelor’s degree in hospitality management is preferred.
  • Previous training and experience with Concur or similar travel software highly preferred.
