Administrative Assistant - Integrated Services

Job Description

Duties: Support regional requirements that are of an administrative nature.

Responsibilities: 
•    Assist with onboarding suppliers (work with Purchasing, HR, HSE and Finance)
•    Onboarding and follow-up with Contractors, including:
             -Assisting with required registrations
             -Relaying Site-Specific Info – work address, shift schedule, contact info, required PPE, explaining and verifying itineraries.
•    Follow up with employees on administrative deadlines
•    Sending Documentation (e.g. contractor orientation manuals, code of conduct, LOTO, etc)
•    Assist with and conduct department orientation.
•    Collecting Skills Matrix updates and resumes from employees and keeping logs up to date and on-file.
•    Sharing training info and assisting employees with registering for Training.
•    Regularly check with team members and collect their feedback and requests.
•    Keep track of start and end dates for assignments and inform management for any upcoming changes.
•    Follow up with employees on timesheets and expenses related issues.
•    Collecting Service Reports from Field Personnel e-mails and organizing for review.
•    Assist in employee travel planning and search for available group rates.
•    Support team member events

Education and Experience:

•    Associate degree (A. A.) or equivalent from a two-year college and three to five  years related experience and/or training; or equivalent combination of education and experience
•    Ability to juggle multiple projects with superb accuracy.
•    Strong administrative skills
•    Ability to learn and understand the basic technical elements of the business.
•    Basic Accounting skills.
•    Intermediate Excel and PowerPoint skills
•    Strong sense of urgency and problem-solving skills

•    Work in compliance with divisional health, safety, and environmental procedures
•    Refrain from removing or altering safety devices or guarding unless hazardous energies are controlled through lockout-tagout methods
•    Report any unsafe conditions or unsafe acts 
•    Report defect in any equipment or protective device
•    Ensure that the required protective equipment is used for the assigned tasks
•    Attend all required health, safety, and environmental training
•    Report any accidents/incidents to supervisor
•    Assist in investigating accidents/incidents
•    Refrain from engaging in any prank, contest, feat of strength, unnecessary running, or rough and boisterous conduct
