Executive Assistant

Scientific Products, an ATS Company is expanding our team and have an immediate opening for an Executive Administrative Assistant!  In this role, the Executive Administrative Assistant will perform a full range of administrative support duties at the executive level, in a fast paced, multi-tasking environment.



  • Proactively schedules and manages appointments through Microsoft Outlook.
  • Screens and responds to phone calls and emails.
  • Prepare and update PowerPoint presentations and spreadsheets.
  • Compose correspondence via email, fax, copying, and/or courier. 
  • Independently respond to letters and general correspondence of a routine nature.
  • Scheduling internal and external meetings and booking meeting rooms.
  • Compile, maintain, and process all incoming mail.
  • Format and improve drafts of text documents, including use of tables, importing excel and graphics, structuring long documents, controlling pagination, merges, etc.
  • Conduct follow up to assignments given to staff and generate status reports.
  • Copy and distribute monthly reports.
  • Maintain files and records, including storage.
  • Responsible for making travel arrangements as needed and monitoring them to ensure maximum efficiency and accuracy.
  • Work with very sensitive and highly confidential information.
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the ATS Code of Business Conduct.



  • Post secondary education in administrative support.
  • Minimum 5 years related experience in an administrative support role.
  • Expertise with Word, Excel, PowerPoint, Access, Visio and other commonly used software. 
  • Strong computer, secretarial and general organizational skills are essential.
  • Experience managing virtually with people across multiple geographies and time zones.
  • The individual must have an ability to communicate effectively with people at all levels within and outside of the organization, both orally and in writing. 
  • The ability to work with minimal supervision and guidance in a team-oriented environment is mandatory. 
  • Individual must demonstrate initiative and innovation, be hands-on, and able to meet deadlines.

  • Report defect in any equipment or protective device
  • Ensure that the required protective equipment is used for the assigned tasks
  • Attend all required health, safety and environmental training
  • Report any accidents/incidents to supervisor
  • Assist in investigating accidents/incidents
  • Refrain from engaging in any prank, contest, feat of strength, unnecessary running or rough and boisterous conduct
